Terms and Conditions

Section 1: Commencement, Duration and Application


  1. The RAMM Technologies terms and conditions shall commence upon acceptance and payment of the order by the Client in each instance.

  2. The RAMM Technologies terms and conditions shall apply while the vCard service is active and paid in full.

  3. RAMM Technologies vCard product consists of an annual subscription fee, plus a once-off set-up fee. 

  4. The vCard will only be activated upon full payment, once received and reflected in RAMM Technologies account. 

  5. Subscription renewal fees will occur 12 months after the acceptance and payment of the quote. A subscription reminder will be sent to the client from RAMM Technologies 30 days before the payment is required. 

  6. Clients are required to make the payment within 30 days of receiving the TAX invoice. Failure to make the payment will result in the termination of the subscription and the client’s vCards will be deactivated.

Section 2: Quotations

  1. RAMM Technologies shall provide the Client with a quotation for services and/or products required by the Client,  which shall be valid for the period as indicated on the quotation or, in the absence of such period being stipulated, for a period of 30 (thirty) calendar days.

  2. Quotations are subject to the availability of products and/or services and are subject to any increases in price or costs, including currency fluctuations, which may occur before the order is accepted by the client

  3. RAMM Technologies will execute the Client’ts order/s once the payment of the full amount is paid by the Client.

  4. RAMM Technologies is entitled to refuse any order placed by the Client.

  5. Orders may be cancelled by RAMM Technologies in any case of fortuitous events or any other circumstances whatsoever beyond its control.


Section 3: Data Collection and Sharing

  1. After payment has been made by Clients, RAMM Technologies will assist with data collection. 

  2. RAMM Technologies offers complementary assistance for data collection through a 20-minute complimentary consultation or through email communications.

  3. The Client acknowledges that it is the Client’s sole responsibility to determine and ensure that the information is correct and up-to-date. In addition, their material is not subject to copyright or franchise infringements. RAMM Technologies will not be liable, in any manner or form, for incorrect, copyright or franchise violations of a client’s vCard.



  1. Importantly, due to the urgent nature of RAMM Technology vCard Product orders, no artwork approval process will be initiated for the Client’s order until payment is made.

  2. The logo, profile headshots and other media supplied, will always be shown to the best of Ramm Technologies’ ability. High-resolution imagery and high-quality artwork is required from the Client for the best possible design to be created.

  3. All videos supplied by the client need to be a YouTube Embedded Link (either listed or unlisted).

  4. Logos will not be modified by Ramm Technologies.

  5. If specific Pantone colours are required, then these, must be provided by the Client in HEX or RGB format. 

  6. If Clients require assistance with their artwork, RAMM Technologies will outsource the work to a Design and Marketing firm. Quotations will be provided on request. 


Section 4: Mock Ups

  1. RAMM Technologies will provide the Client with a vCard mock up and artwork approval via e-mail or another electronic format. The mock up will illustrate the appearance of the Client’s vCard, as provided to RAMM Technologies by the Client, on the chosen vCard product. The Client needs to sign off the artwork and no further services will be rendered by RAMM Technologies until RAMM Technologies is in receipt of the duly completed signed-off artwork approval.

  2. Lead times for mock ups will be deemed to commence on the date and time that RAMM Technologies received all data information and payment of the funds has cleared in RAMM Technologies’ bank account.

  3. After RAMM Technologies receives the Client’s contact information and data forms, RAMM Technologies will develop mock ups on the Client’s vCard within 72 hours of receipt of the information.

  4. RAMM Technologies will supply 2 mock-ups free of charge. The client will be able to provide feedback on these two designs to create a 3rd mock-up. After the third mock-up, there will be an allowance for two artwork changes, thereafter, RAMM Technologies will charge a surplus charge of R150.00 (One hundred and fifty rand) for the redesign of the vCard. The Client will be informed of the additional fee and will be given the choice of whether to continue or not.

  5. After the mock ups have been approved, Clients are required to sign an artwork approval form. Once the artwork approval document has been signed, the mock up is approved and finalized. Any other changes to the mock up design thereafter will result in an alteration charge.

  6. The Client is to partake in the process of reviewing and checking the mock up for spelling mistakes and errors relating to e.g. colours, image, and text and is to do so before signing off and approving the artwork/order. RAMM Technologies shall not be held responsible or liable for erroneous interpretations of the artwork/order, or typographical errors overlooked by the Client.

  7. Lead times for all vCards will be deemed to commence on the date and time that RAMM Technologies receives signed off approvals of the artwork.


Section 5: vCard Publishing 

  1. After a client has approved the artwork and mock up, RAMM Technologies will generate and publish the Client’s vCards. 

  2. The published vCards links will be communicated to the client in an electronic format. 

  3. The vCards remain active for as long as the vCard subscription has been paid. 

  4. Changes and alterations to the vCards can occur at any time, however, a fee is required to be paid for the alteration. A quote will be sent to the Client to accept and pay, prior to the alterations being made.

Section 6: Payment and Release of Orders

  1. Subject to the provisions of the Consumer Protection Act, no 68 of 2008, as amended, if applicable, all prices/rates are subject to alteration without notice, and orders will be processed at the price/rate applicable at time of dispatch. All prices/rates quoted by RAMM Technologies are based on, but not limited to, foreign exchange and statutory wage rates applicable at the time of negotiations for the purchase of the goods to which the invoice in question relates, and consequently, any variation in such prices/rates will be for the account and be borne by the Client, with notice.

  2. RAMM Technologies accepts payment by way of Electronic Funds Transfer. Cash payments are not acceptable.

  3. All payments made by the Client to RAMM Technologies shall be made free of deduction, set-off, bank charges and commissions and shall not be withheld for any reason whatsoever. Any extension of the due date for payment shall be valid only if reduced to writing. Discounts shall be forfeited on overdue amounts.

  4. RAMM Technologies may, at its sole discretion, extend a 30 (thirty) day incidental credit facility to the Client and may, at its sole discretion, amend or withdraw such facility. Incidental credit facilities are to be approved in writing. The interest of 2% (two per centum) will be incurred on all overdue amounts.

  5. Orders will only be released once payment is in full, including interest, if applicable, reflects in RAMM Technologies’ bank account. A company purchase order may, at the sole discretion of RAMM Technologies, be accepted. RAMM Technologies shall not be liable for missed deadlines due to non-payment or late payment by the Client.

  6. Should RAMM Technologies be required to institute legal proceedings to enforce its rights in terms of the contract with the Client, the Client agrees to be liable for and pay RAMM Technologies’ collection commission, tracing fees as well as its legal fees on the scale of attorney and own client.

Section 7: Refunds

  1. Any changes for incorrect goods, not limited to incorrect branding, should be initiated in writing by the Client, in no more than Five (5) days from receiving the order.

  2. Any complaint received after the Five (5) day mark will be investigated, but a resolution cannot be guaranteed.

  3. RAMM Technologies is unable to refund international clients.

  4. If a client is dissatisfied with their vcard, a request for refund may be submitted by the Client, only if the amount is greater than R250.00 (two hundred and fifty rands) ex VAT. The request will be investigated by RAMM Technologies, and if accepted, the refund shall be processed within 30 (thirty) days from acceptance. Any refund less than the amount stipulated above will be credited to the client’s account and set off against the Client’s next order.

  5. Please note, refunds may only occur within the first month of the subscription and publishing of the vCard, no refund request will be accepted after the first month. 

Section 8: Errors

  1. RAMM Technologies takes all reasonable efforts to accurately reflect the information provided by the Client. However, should there be any errors of whatsoever nature on the vCard after the artwork approval document had been signed, Ramm Technologies shall not be liable for any expense relating to altering the vCards.

Processing and retaining of personal information

RAMM Technologies has adopted a data privacy policy, in terms of the protection of personal information Act No.4 of 2013 (POPIA). There may be instances when RAMM Technologies have to verify the information provided for reference purposes. This would include sharing this information with financial consultants to settle invoices and for the sharing of same with SARS to claim VAT.


RAMM Technologies guarantees to use Client’s information only for the purpose it was collected. When a client discontinues their subscription with RAMM Technologies, the information will be destroyed beyond reconstruction, except when there is a statutory or regulatory obligation that requires RAMM Technologies to keep client’s information for a stipulated period that is longer than the purpose for which it was received.



After accepting a quote and making payment, the Client agrees to the following statements:

  1. I (the Client), consent to provide the personal information required by RAMM Technologies on the understanding that RAMM Technologies is responsible to abide by the conditions of lawful processing of Personal information set out in POPIA, in the Data Privacy Policy and this document.

  2. I (the Client), declare that all information being supplied by my company and employees to RAMM Technologies is accurate, up to date, and not misleading and that it is complete in all material respects.

  3. I (the Client), confirm that I am duly authorized to accept the terms and conditions on behalf of the contracting company.

  4. I (the Client), undertake to advise RAMM Technologies immediately of any changes to the information, should any of the details change.

  5. The personal information will be retained only for as long as is lawful.

  6. I (the Client representation), confirm that I have been given consent by the Director/Members of the contracting company to share their information with RAMM Technologies for the purposes mentioned above.

  7. By providing RAMM Technologies with personal information, the client voluntarily and without coercion, consent and give RAMM Technologies permission to process the information, as and when required as long as it is for the fulfilment of the purpose for which it was collected.
